Attendee Check-in and Badging

All conference attendees can check-in quickly at the event or even in a remote location like a nearby hotel. Attendees use self check-in machines to find their registration and print it out. Our check-in and badge printing systems are robust enough to handle even the most demanding check-in rush and work with or without an Internet connection.

  • Self-Service check-in kiosks allow attendees to quickly and easily check-in and print their badges.
  • Attendees can self-correct any errors on badge information, reducing the need for re-prints and imporving the attendee experience.
  • Customized event badges that allow for customized information, tickets, promotions, and offers to be printed on badge stock
  • Allow attendees to print their schedule at the same time as they print their badges or, with our professional services, print their schedule on the back of their badge.
  • Satellite check-in and badge printing allows attendees to print their badges at conference hotels, airports, and additional conference areas.
  • Attendee badges are used for everything an attendee does at an event, session scanning, completing surveys, logging onto Cyber-Cafe kiosks, gift redemption/materials pick-up, and exhibitor lead retrieval.

Attendee Session Scanning

WingateWeb offers a proprietary Session Access Control (SAC) Appliance for controlling and monitoring session attendance for certification or post-session surveys and reporting.

  • Track actual attendance to any conference session
  • Station can be monitored from anywhere, allowing for hassle-free troubleshooting
  • Control access to any session area, including sessions, meal rooms, special events, as well as any other area you want to control access to.
  • SAC Appliance comprised of HP LCD monitor, with solid-state CPU VESA mounted to the back. With a small profile, the SAC Appliance ships very well.
  • Should the station lose power, it will automatically return to the proper configuration upon reboot
  • Monitor and manage room capacities throughout the event
  • Report on actual attendance to sessions for certification/continuing education purposes or to ensure that internal attendees are attending required sessions

Event and Session Survey Management

Integrated online surveys can be displayed during registration, at the event or post-event as needed

  • Create multiple types of surveys, such as general event surveys and specific session surveys
  • Allow attendees to complete surveys onsite automatically through WingateWeb cyber-cafe kiosks
  • Automatically tie survey completion to incentives to boost online survey response rates
  • Deliver surveys through multiple channels, such as onsite kiosks, email, attendee session scheduler and others
  • Attendee Gift Redemption and Materials Management

Materials Inventory Management

All conference materials and gift items are tracked and allocated according to your business rules. Rewards can be managed based on surveys completed, sessions attended, etc.

  • Attendees scan badges at gift redemption stations to automatically receive eligible gifts. Gifts are marked as received in the system once an attendee picks it up to prevent attendees from receiving multiple gifts.
  • Tie gift redemption to attendee type, registration code, profile response or any other bit of data collected about attendees
  • Distribute conference materials to attendees automatically based on attendee type, registration code, profile information, sessions scheduled or any other bit of data.

Cyber-Cafe and Onsite Attendee Communication

Integrated Internet kiosks are custom branded and managed to ensure security measures are in place. The kiosk is accessed via a quick badge scan and attendees have immediate access to their schedule, conference content, surveys and more.

  • Provide cyber-cafe kiosks to attendees to allow them to access internet, email, and
  • Wingate solution serves as the onsite Web site for the event.
  • Deliver targeted surveys to attendees. When attendees scan their badges at the kiosk, all available surveys display to the attendee
  • Send attendees event updates, sponsor messages, room changes, and other important information onsite by email or through the WingateWeb kiosks' built-in messaging.
  • Built-in messaging allows attendees to contact and interact with each other onsite.

Our solutions are entirely Web-based. You don't need to install any hardware or additional software to use WingateWeb event management software. Just a modern Web browser and an Internet connection and you are up and running 24x7 from any location.
